Background Summary:
This project provided the design and construction of a new clubhouse building at the City's Auburn Golf
Course. Design was completed in mid-2006, with construction start in October of 2006. Construction
was substantially complete of the Pro Shop and public spaces, providing City occupancy in early August
2007. The restaurant areas were completed and opened in December of 2007. All responsibilities of the
contract were fulfilled by May 16, 2007.

All required work has been completed by Briere & Associates per the terms of the referenced
construction contract for the Auburn Golf Course Clubhouse Project, with the exception of
certain specified activities to be completed as warranty items and performed as weather
allows. All project documentation and materials have been conveyed, and the responsibilities
of the Contractor completed.
I therefore recommend acceptance of this project as complete by the City. Enclosed is a draft
Agenda Bill, with accompanying Budget Status Sheet. Both are also available electronically,
and I will convey them in that form to your administrative staff.
I have also conveyed the Contractor's final application for payment to the accounting staff.
Upon acceptance of the contract as complete by the City Council, I will prepare and convey to
the appropriate State agencies the completion notices that will activate resulting approvals
from them; allowing final release of retainage approximately 60 days later.
Operations and Maintenance Manuals have already been conveyed to City Facilities and Golf
Course operations staffs. Final as-built plans will be conveyed upon their receipt from the
Architect. Upon release of retainage, I will convey all project files to the Facilities staff,
completing Harris & Associates efforts for this project.

Project completion
Dear Paul: U
I am recommending that the Auburn Golf Course Clubhouse project be
accepted as physically complete. There are a few items on the punch list that cannot
be competed due to weather concerns. As such, I recommend those items be moved to
the warranty portion of the project. E
Those items include, but are not limited to all exterior painting repair, sidewalk
repair, exterior caulking and interior kitchen floor repair. I have received a letter from Oq
Brier and Associates agreeing that they will complete those items as soon as the
weather permits.
In summary, I recommend that the project be closed out and accepted by the
City. M
