Chair Sue Singer called the Auburn Tourism Board meeting to order

1. Housekeeping
• Approval of Minutes from May, 21 2007
o Nancy Wyatt moved to accept the minutes as presented and Debbie Luce
seconded, the minutes were accepted.
2. Updates:
• Tourism Coordinator -money was expedited from the City to the Chamber to hire
for the position. This expenditure was an addendum to the Chamber's current contract.
The goal is to get someone hired by early August.
Map Brochure -the map project is now completed and the press proof was handed
out for review. Everyone really liked the testimonials on the map. A quarter million
maps will be printed and delivered on July 28t". Distribution will be handled by the
sub-committee, who will decide where the maps are distributed. Chair Singer, Duanna
Richards, Bob Dunn, Debbie Luce and Jeremy Chevalier volunteered to serve on this
sub-committee. Discussion took place around having the maps distributed free this
year, then possibly next year charging for distribution to help cover the costs.
Website -Bob Dunn reported that the website is still a work in progress. There are
some links on the site that have great articles. Debbie Luce offered to take some
photos around town and Jeremy Chevalier volunteered his family to be models.
The pictures will be fun and active shots.
Bob Dunn moved to require businesses to provide their own photos and information for
the website; motion was seconded by Debbie Luce. It was decided by the Tourism
Board that businesses will need to provide their own photos and other information if
they want to be published on the website.
Website statistics were reviewed and discussed; the homepage, shopping and
restaurants pages were most popular. Discussion took place on how the website
statistics could serve as a tool to show effective measurements. The Tourism
Coordinator can also help track the website; this will be added to the job description
as a new task.
• Arts Festival -Julie Brewer and Chair Singer reported that the art walk brochure is
still being worked on by the City and will be distributed soon. The suggestion was given
to add the three pieces of art in the Museum. ATB will have a stronger focus for next
year's festival.
• Latino Festival -July 21St is the same day as the sidewalk sale as well as an event
at Emerald Downs. Three partnerships could potentially happen that weekend.
Dave Aust reported there will be two Latino concerts coming up this summer, 2007.
Next year the ATB will focus on getting these types of summer events coordinated
and promoted.
WIAA -West Central District III -Chair Singer met with the WIAA President about
a potential promotion partnership with the Tourism Board. The WIAA currently has
Baseball, Basketball, Bowling, Dance, Track, Tennis, Volleyball and Wrestling events,
some of which are two-day events that bring thousands of people to the area!!! The
WIAA does ask for sponsors to support these athletic events in the Auburn schools.
3. Action Items:
• Prioritize Tactics -this agenda item was put on hold until everyone could review the
binders. This will be examined at the next meeting.
• Auction Policies -discussion took place around future participation in auction
activities. The Board decided it would only. be of benefit if people are drawn from
outside areas. A suggestion was made to partake in a maximum of two auctions a
year and target areas such as Yakima and/or Portland. The group agreed this is a
low priority focus and that it wasn't a large benefit to partake in a lot of auctions.
• Brainstorming Itineraries -this topic will be reviewed at the August meeting.
4. Information:
• Strategic Plan -discussion took place around who should receive this binder. The
City Council and Tourism Board have already received them. For now the binder will
be kept for Tourism Board members until further discussion. There were a few
questions regarding keeping it as a working document and putting it on-line for
members to access.
• City Calendars -the City produces a community calendar every year; there were
40,000 calendars printed for 2007. The 2008 calendar theme is going to focus on
tourism.
• City Booth(s) -there will be information regarding tourism at all the City booths this
summer season during local community events. Volunteering was encouraged among
the group.
• ATB PowerPoint Presentation -a CD id available upon request.
• Next Meeting: July 19th next meeting at the Supermall
Other Business:
Tourism Fact Sheet Review -
