Board Meeting
August 19, 2009, 1:30 to 3 p.m.

1. Call To Order, Introductions, Approval of Minutes President Ronnie Beyersdorf
President Beyersdorf called the meeting to order. Minutes for the board meeting of 7/15/2009
were approved.
II. Board President Report President Beyersdorf
A. Review of Museum Calendar
The Halloween committee meeting will move to 9/14/2009 and 9/21/2009
The Auburn Chamber of Commerce Mixer is Thursday, 8/20/2009
The Mary Olson Farm committee will meet 8/26/2009
Collections committee will meet at Wednesday, 9/10/2009 at 10:00 AM
B. Museology 101: Suffer for Beauty Exhibit Michelle. Marshman
(Excused)
Patricia Cosgrove suggested that when the museum opens a new exhibit the board members will
get a preview tour. Patricia led the board on a tour through the Suffer for Beauty exhibit. This
exhibit shows the cultural and political impact on the clothing of the period and the
undergarments required to mold the shape of women to fit the dress style.
III. Committees
A. Finance Committee ` Treasurer Doug Hedger
As of last year the museum is down $4500. The Harvest Ball is down $11,000. This time last year
$62,500 had been received. The Suffer for Beauty exhibit is very popular. It is bringing people to
the museum. In the past two weeks $111 was received from door donations and $1025 in gift
shop sales. Admission is also up. The money made from Harvest Ball is very important. Doug is
investigating investment accounts and the possibility of different strategies.
OPM Report: Patricia and Holly continue to work on grant applications. Patricia does a wonderful
job fund raising. Motion to approve the Budget Report was seconded and approved.
B. Mary Olson Farm Committee Judi Roland
The committee decided to not have an event at the farm this year. They are very busy with
projects and do not want to impact the sale of Harvest Ball tickets. Global Security has been
selected by the committee to install a system thoughout the buildings at the farm. The bid
included a section for monitoring the museum, which would reduce monitoring costs by over
$100 a month. The finance committee must approve this change of monitoring company and
expense and will review it at the next quarterly meeting. On Monday a contractor will begin
installing a radiant heat system under the house. Public relations have begun to recognize the
support of the Soroptimists and Rotary for fieldtrip transportation to the farm.
C. Halloween Costume Ball Committee Julie Herren
Julie stated that there needs to be continuity in pressing the community for support. Clarissa will
send a package of information to the table captains. In September there will be a story in the
Auburn Reporter. All wine and items for auction are due at the museum in mid October. The
Muckleshoot tribe may do an in-kind Purchase Order for the catering. Boeing is providing $2500
as Naming Sponsor. It was suggested that the board send flowers or another consumable gift to
the new Muckleshoot school that is opening in September. This is an opportunity to connect
with the community - to give rather than ask. Kristi Mills asked for volunteers to help find
auction items and/or auction item contacts. A revised budget for the HCB is under development.
D. Community Connections Committee Clarissa Ruston
The committee is excited about the Chamber mixer and will work out the details. It was
suggested there be a drawing of business cards. Ronnie offered to bring a bottle of wine for the
winner.
IV. Staff Report
A. Olson Farm Patricia Cosgrove
Next week a contractor will be installing radiant heat in the house. Tara visited a tractor show in
Lynden, Washington. She reported there were thousands of tractors and exhibits, blacksmiths, a
tractor pull, swap meet, rides, etc. It is a big money maker. The museum could invite a small
club to the farm. Mark Vuckich should be contacted. He has many tractors and participates in
parades.
Archaeology: There is no update on the pending Excavation permit that will allow work to begin.
When the press drops off after the Suffer for Beauty exhibit advertising for Free First Saturdays
will begin.
