Board Meeting
June 17, 1009 1:30 to 3PM

Board Members Present: Tom Campbell, Richard Artura. May Yamada, Judi
Roland, Clarissa Ruston, Gerry Honeysett, Doug Hedger,
Jan Cavanaugh, Michelle Marshman, Ronnie Beyersdorf, Julie Herren, Mike
Gerber
Board Members Excused: Jennifer Traufler, Warren Kinggeorge, Lisa Scarff,
Gator Chamberlain, DeAnna Burnett-Kenner, Pat Bailey
Staff Members Present: Patricia Cosgrove, Kristen Bruhan, Tara McCauley
Guests: George Frasier, GRCC and Bob Wuotilla, Park Planning Mgr.
President Ronnie Beyersdorf called the meeting to order at 1:35 PM.
He introduced George Fraiser, VP Development at GRCC who gave us a
lesson in how to ask for a Donation. Develop a relationship with your current
donors and others who may share your cause. Donors are willing to give again if
they know that their money went to, the cause and that it did what it was intended
to do. Ask yourself why am I asking this person: is it because you share a
passion? Interest in serving the community? Or do they owe you a favor? All
are valid reasons to ask. Use the phrase "I'd like you to join in me in supporting
the museum". Never ask for too little, this insults the donor, ask for too much and
let them determine what they can give. After the ask, be quiet! Wait for the
donor's response. It was suggested that we invite potential donors to the
museum openings and tell folks to use the Website.
President Ronnie asked for approval of the minutes. They were approved with
the correction of the spelling of Dave Payn's name. Ronnie then went over the
Museum Calendar.
Committee Reports:
Finance: Doug Hedger, Treasurer presented the report as of May 31,
2009. He noted that donations and admissions are down as is gift shop
purchases. He is hoping for a great Harvest Ball! Rotary is donating $4000 and
Soroptimist is donating $1700 towards the Mary Olson Farm tours for fall 2009.
Motion passed to approve the financial report.
Mary Olson Farm: Judi Roland spoke of the farm committee meeting of
June 10 where the committee walked the trail to the space where the parking lot
will be and visited with the goats. They went over bids for Security, talked about
the drilling of the well and the trenching work that needs to be done. However
nothing can be done until we are granted a permit by the State Department of
Archaeology and Historic Preservation.
Collections Committee: Michelle Marshman reported that about a dozen
items were added to the collection. She highlighted a complete rail road uniform,
a Salish shawl and original maps if Mountain View Cemetery.
Halloween Costume Ball: Julie Herren said we need to get
sponsorships now! It is important that we contact as many people as we can for
sponsorships. Tickets were distributed to all Board Members who are expected
to fill a table of 8. Auction items are also needed.
Community Connections: Clarissa reminded us that the Chamber mixer
is on August 20th. She still needs a number of people to help with set up. It was
suggested we invite our donors. Rosetta Beyersdorf is doing the food for this.

Staff Report:
Tara McCauley gave us a preview of the summer programs: Hooked on
History, Books Bring History Alive and Junior Curators Summer Camp. She
also told us about the new audio guide program and played a few of the
selections. She gave each Board Member a copy of all the selections to play at
home.
Board Members each gave a comment about the meeting and all seemed to
enjoy having the meeting at the Farm.
Meeting adjourned at 3:11 PM
Next meeting will be July 15, 1009 at the Muckleshoot Room.
