HomeMy WebLinkAbout05-15-2002 White River Va11ey Historical Society Board Meeting Minutes , May 15, 2002, 1:30-2:30 p.m. ` Board Members Present: Marissa Armstrong, Eazl Averill, Michael Cassella=Blackbum, LoriAnne Claudon, Nicole Karwhite;.Bud Kuhlman, Debbie Maguire, Maxicie Moergeli, Patti Osthus, Bill Peloza, Dick Pickett, Mike Stevens, Mae Yamada. Board Members Excused: Ead.Hagen, Raymond Jerry, Chades Natsuhara, Hans Torkelp, Doris Ramstead . Staff Present: Patricia Cosgrove, Tina Brewster-Wray . Guests: BettyFae Bushnell, Me1 Sinex 1. Call to Order and Approval of Minutes President Armstrong called the meeting to order at 1:35 p.m. and asked for the approval of the minutes. MikeStevens inoved, and Earl Averill seconded, that the minutes be approved as correc[ed. CORRECTIONS: 3 b, line one- change "ha[" to "thaP". MOTION CARRIED B. We welcomed and thanked our long time, valued volunteer, BettyFae Bushnell. BattyFae is also quite . the seamstress. In fact, she made the beautiful red drapes that currently hang in the museum in the hotel exhibit. II. Chair Report. A. President Armstrong talked about and showed pictures from the Historic Preservation Planning Award ceremony that she and Patricia attended the day before at the Arctic Club in Seattle. The museum won an award for the Olson Farni Plan. It was one of the ten awards given that day: Marissa was impressed that they were impressed with us! Marissa also;thanked the Olson Faan Committee original members for their work. Cosgrove mentioned that she would like to give the award to the City of Aubum for purchasing and saving the farm from residential development. We also tallced about adding this award to the display of awards in the Gallery hallway. B. Marissa talked about the museum programs she has been attending that she has enjoyed so much. She especially wanted to thank Karen Haas for all her hard work and creativity. She said she has been getting lots of good feedback. She is also been able to tell how the programs for the younger ones are bringing in some "older", visitors to the museum who may not have been here in awhile. Nice when it works like iYs supposed to. C. Marissa also wanted to remind and invite people to the Mad Hatter's Tea Party on June 9t'. Cost is $15.00 a person and includes food and a fasluon show. Sounds,like fun! III. Treasury and Committee Report A. Treasurer Osthus went over her treasurer's report. She informed us that the £mance committee has met . and made the recommendation tfiat in'order for tha annual inventory cost adjustment done for the gift shop to be more accurate, that it be done figuring a 35% profit rate instead of the 50% rate as figured in the past. She also reported'that.they discussed allocating this year's Harvest Masquerade Ball revenue to next year, to have a firm , number to budget to: She said they also recommended charging our grants a 2-5% bookkeeping fee towards the bookkeeper's salary to help with; the operating costs of the grant money we receive. Dick Piekett moved and Bud Kuhlman seconded, that the treasurer's report be approved as presen[ed. MOTION CARRIED B. Harvest Ball Co-Chair LoriApne reported that they had a good. meeting recently where thcy got a lot accomplished. The event, which will be sold as "The Best Party in Town", is cooking along! A key to tlieir success . is the addition of Donna Hamilton to the committee: Among many things, she gave them access fo the Miss Auburn's gold mine of decorations!' She also reported tliat the Aubum Reporter has agreed to do an article for us re: the Ball, the museum staff has agreed to do the photos again for us, Bill Peloza is in charge of ticket sales, there , will be 3 choices for the sit down dinner that night, there will be 8-12 people to a table (if you need 12-be sure to let them know early), that they will work on makingithe, entry way into the event at the racetrack as'open and glamorous as possible and that they may need a bigger coat room area. C. Corporate Sponsorship chair Dick Pickett presented;us witii a packet full of information regarding corporate sponsorship opportunities. In the packets are letters we can use to personalize to send to people we know who may want to donate to the museum. He designed it so that we can add our own letterhead to the letters to add credibility/recognition. He said that is has been proven over and over that the person to person approach is the best way to contact people to ultimately get help/donations. The museum staff can get us these letters in a WORD file ' and email it to us so we can add our owri info without having to retype. He also passed around three clipboards with the three areas we aze seeking corporate sponsors broken down. He stroagly encouraged us to look it over and add or sign up by any of the names we would agree to contact to make that personal touch/arm twist. IV. Staff Report A. The Olson Farm update was given by Director Cosgrove. She informed us that the city attomey is oncc again reviewing the building lease addendum that was created to the agreement that we currently have with the city of Auburn iegarding Olson Farm. She will keep us posted on its progress. She also shared with us some pictures of a faim, similar to the one we want Olson to be, named Rancho de Los Golondrinos, located in New Mexico. It s a good example of how all the hard work of Olson Fann will pay off. B. Cosgrove also re-presented the proposed facility use policy piece to the board: The boazd made a couple more rewmmended changes thaY she will make. The board appreciated that it was kept simple, yet effective, especially knowing that there was a lot of homework that went ihto the proposal. It was then moved by Dick Pickett and seconded by Bud Kuhlman that the picce be approved as amended. MOTION CARRIED C. Tina Brewsteo-Wray presented us with infonnation about the Crossing Institutiooal Boundarics Project. She said it's an exciting:project whose aun is to create an online data base/resource of about 12,000 photographs put on a cd by 2003. It is funded by a national grant and is being managed through the Museum of History and Industry and the UW Library.'There are 12 museums involved. WRVM's contribution wilt be 400 photos. We talked about how to order copies of the photos and how to best follow copyright laws. We have a little more to - leam abouthow it all works. Tina will keep us updated. D. The teinpprary e7chibit shows dates will be a little changed. The Hats will stay up through July 14. Then the next exhibit will be the Interurban Revisited, from July 31 to October 27. V. New Business A. Bud Kuhlman reported for the PR cortunittee that hc had a talk with thc Mayor and city councilman, Gene Cerino, about the two signs;we need on W Xt J, and along Auburn Way. He said they are gung-ho, but now need to put it to the citv council[ for a vote to change the codc rogarding the signs and the larger size (5' X 8') needed to fit all the others, who are basically a part oF the. Aubum Commdnity Campus, on it. He will keep on it and let us know how iYs going. VI. Adjournmenf President Armstrong adjourned the meeting at 2:33p.m. The next meeting will be held on June 12'b, &om 1:30- 2:30 p.m., in the MUCKLESHOOT ROOM at the museum.
