HomeMy WebLinkAbout06-16-2010White River Valley Historical Society Board and Annual Meeting Minutes 6/ 16 / 2010, 1:30-3:00 p.m. Location: Mary Olson Farm Board Members Present: Richard Artura, Ronnie Beyersdorf, Tom Campbell, Pat Cavenaugh, Megan Evans, Mike Gerber, Jennifer Hamor, Doug Hedger, Julie Herren, Judi Roland, Clarissa Ruston, Scarff, Lisa A Board Members Excused: Gerry Honeysett, Ken Nelson, Mae Yamada Board Members Not Present: Staff Present: Erin Hash, Patricia Cosgrove, Tara McCauley Call to Order and Approval of Minutes A. President Gerber called the meeting to order and asked for the approval of the minutes. MOTION CARRIED Chair Report President Gerber A. President Gerber reviewed the museum calendar especially noting: July 4t" Extavaganza, Halloween Ball committee meeting, 3:30 PM, July, 12 2010, Finance Committee, 9:00 AM, July 22, 2010, and the Mary Olson Farm Committee 3:00 PM, July 28, 2010 B. Sign Up, July 4t" Celebration President Gerber Board members were given a sign up sheet to volunteer at the museum during the 4t" of July celebration. C. Museology 101, Preview Summer Programs Tara McCauley, Curator of Education The museum hosts 2 summer camps for children: the Living History and Extreme Environment Camps. To find out what camp kids do at these camps, Curator Tara gave board members artifacts to write up a Condition Report, and Board Members had fun with unusual historic items. III. Committees A. Finance Committee Treasurer Hedger We are on track as we work through the year. The Halloween Ball will be very important. We are ahead from last year due to Free Wednesdays. The 2011 audit check list has been revised. This will more accurately reflect museum activity. A new procedure for the emergency and non-emergency transfer of funds was reviewed. A motion to approve the procedure was requested, seconded and carried. Patricia updated the board on grants (The OPM Report). Three new applications are pending, and 1 new application is currently in development. As of June, 11 the Capital Campaign needs an estimated $88,890. B. Halloween Costume Ball Committee Julie Herron Program Ads: Megan will design the program. The structure and style of the ads was discussed. It was suggested that pages of information regarding the history of the farm, museum past presidents, etc., be added, or pictures of the board members as children for guests to guess "who is who". Tickets and Sponsorship packets were provided to board members. More are available if needed. B. Mary Olson Farm Committee Judi Roland The committee is currently discussing the budget for Hops and Crops Harvest Festival, and is proud to show off the work at the farm during this board meeting. C. Community Connections Committee Clarissa Ruston Clarissa provided a calendar of events including Kid's Day, July 25, Pacific Day's parade, July 10, Artrageous, August and the first Mary Olson farm special event, Hops&Crops. IV. Staff Report A. The board members toured the farm which included a demonstration of the hayfork and the inside of the house V.
