HomeMy WebLinkAbout07-21-2010White River Valley Historical Society Board Meeting MINUTES July 21, 2010, 1:30 to 3 p.m. Muckleshoot Room, White River Valley Museum Board Members Present: Richard Artura, Ronnie Beyersdorf, Tom Campbell, Gator Chamberlain, Pat Cavanaugh, Megan Evans, Mike Gerber, Doug Hedger, Jennifer Hamor, Julie Herren, Gerry Honeysette, Judi Roland, Lisa Scarff Excused: Clarissa Ruston, Mae Yamada Not Excused: Ken Nelson Staff Present: Kristen Bruhahn, Patricia Cosgrove, Erin Hash, Tara McCauley 1. Call To Order, Introductions, Approval of Minutes, President Mike Gerber called the meeting to order and a motion was made to pass the minutes of our last board meeting with two corrections: members excused should include Gator Chamberlain, staff present should include Kristen Bruhahn. Board President Report President Gerber review the museum Museum Calendar, and Director Cosgrove demonstrated the museum's website: www.wrvmuseum.org, paying particular attention to the Whulshootseed alphabet audio game. III. Committees A. Finance Committee Treasurer Doug Hedger reviewed the second quarter Financial Statement, noting that we are ahead of last year but that the overall annual performance will depend upon the success of the Halloween Costume Ball. Speaking for the Finance Committee, Treasurer Hedger proposed an increase in the Board and Officers Liability Insurance carried by the Museum for board members that represent the Historical Society, from one million per occurance and annual aggregate, to two million. The cost per year would increase by $1,000 which he felt could be covered, causing a budget amendment made if passed. Board members discussed this need, with Richard Artura supporting this move and attorney Tom Campbell noting that in the event of a law suit the plaintiff would look for the source of the greatest insurance, and that would be the City of Auburn not the Museum. Board members appointed by the City are coverd through their policy at $22 million per occurance. Discussion continued, with Gator Chamberlain recommending that the motion be tabled for discussion at a future meeting. The motion to increase Board and Officers Liability Insurance was tabled. The Finance Committee also recommended that the 'rainy day fund' ($5,350) be tapped to support a fill in Curator of Collections for 20 hours a week and Cindy Tangen the PR consultant in between funds that are available for these purposes through grants. Patricia Cosgrove stated that this did not need to go before the board, so after some discussion, the motion was taken from the floor. B. Mary Olson Farm Committee Chair Judi Roland noted that the security system is being installed, that the utilities are almost complete, and that the farm has been greatly cleaned up in preparation for the upcoming Summer Camp. C. Halloween Costume Ball Committee Chair Julie Herren encouraged board members to sell Program Ads and passed out the program ad order form. She also asked members to send her their guest list, so that she and other committee members can begin calling folks to invite them. In year's we have missed direct invitations to important people, so the committee decided to take this approach. Lastly, she asked all to please bring in two bottles of wine for the auction at the next board meeting. IV. Staff Report A. Curator of Education Tara McCauley reviewed plans for our first ever Hops & Crops Harvest Festival, 9/25. B. Patricia Cosgrove reviewed the next exhibit, Politics & Bedcovers, American Quilts and Textiles which opened August 10. V. Board Member Comments Around Table President Gerber Adjourn
