HomeMy WebLinkAbout08-18-2010White River Valley Historical Society Board and Annual Meeting Minutes DATE: 8/18/2010, 1:30-3:00 p.m. Location: White River Valley Museum, Muckleshoot Room Board Members Present:, Ronnie Beyersdorf, Tom Campbell, Megan Evans, , Jennifer Hamor, Doug Hedger, Julie Herren, Gerry Honeysett, Ken Nelson, Judi Roland, Clarissa Ruston, Scarff, Lisa A Board Members Excused, Mae Yamada, Richard Artura, Gator Chamberlain, Pat Cavenaugh, Mike Gerber Board Members Not Present: Staff Present: Erin Hash, Patricia Cosgrove, Tara McCauley, Kristen Bruhan, Janet Wells Call to Order and Approval of Minutes A. President Gerber was excused. Vice President Judy Roland acting as board chair called the meeting to order and asked for the approval of the minutes. MOTION CARRIED Vice President Judi Roland Chair Report Vice President Roland A. Review of Museum Calendar Vice President Judi Roland reviewed the museum calendar especially noting: Halloween Ball Committee, Monday 9/9, 3:30, Auburn Good Old Days and Quilt Screening (1:00 pm) 8/14 B. Thank You Notes Mae Yamada: Mae is in doing well and can have visitors. A card was passed for Mae. A thank you card was passed for Mel Sinex thanking him for his donation. C. Museology 101 Patricia Cosgrove Patricia led the board on a tour of Politics and Bedcovers, American Quilts and Textiles exhibit. III. Committees (Items to Vote*) A. Finance Committee* Treasurer Hedger Treasurer Doug Hedger reviewed the Treasurer's Report of July 31, 2010. Year to date the museum is ahead by over $9,000.00 due to the timing of salaries, Free Wednesdays and an increase in operating grants. The Halloween Ball continues to be a very important factor in overall performance. The Finance committee recommended that the funds from the Sinex CD be used for the curator position and marketing funds for a PR Consultant. A motion to use $1286.00 for the curator position and marketing through year end 2010 was approved. Loans have been repaid. Other People's Money (OPM) Report: Holly and Patricia continue to write grants. Applications pending total $15,000.00 and applications in development total $14,000.00. Old business: the topic of board member liability insurance will be moved to the September agenda. B. Mary Olson Farm Committee Judi Roland Caretakers for the farm have been found. The security system has been tested and issues are being resolved. The system will need to be increased in height and beams. The wood stove is being installed. Interpretive panels will be displayed at the farm station, house and chicken coop. This fall groups can sign up for tours of the farm. The Auburn School District has transportation in the budget. Information is sent to teachers and schools. The committee is looking for PTA's with funding. The farm will be open summer weekends for festivals. C. Collections Committee Judi Roland A special thank you was given to Hilary for her superb work on the quilt project. The Collections Management Committee Report was presented detailing new acquisitions approved for acceptance. One item was approved to be deaccessed and destroyed. D. Halloween Costume Ball Committee Julie Herron Every board member is asked to turn in guest lists, bring in 2 bottles of wine and purchase an ad for the program. E. Community Connections Committee Clarissa Ruston The committee walked in the Good Old Days Parade and handed out free admissions, Hops and Crops brochures and candy. They had a great time. Plans have been made to join the Pacific Parade next year. IV. Staff Report A. Mary Olson Summer Camp Tara McCauley Tara and Erin shared a film from the Summer Camp for 7-10 year olds. At camp children do chores, interact with animals, have picnics (with food they make themselves), play games and give final presentations to their parents. B. Hops and Crops "Hops and Crops" is on schedule. There will be four bands, prizes, 13 vendors, a mini farmers market, brats and kebabs and 267 breweries. There will be parking at the farm and golf course, and a shuttle from Isaac Evens Park. T-shirts will be sold as keepsakes. Tara is developing a staffing plan. Board Members are welcome to volunteer.
