HomeMy WebLinkAbout11-17-2010 Approved 12/15/10 White River Valley Historical Society Board Meeting Minutes DATE:November 17, 2010 Location: White River Valley Museum, Muckleshoot Room Board Members Present: Mike Gerber, Tom Campbell, Gator Chamberlain, Judi Roland, Gerry Honeysett, Doug Hedger, Jennifer Hamor, Megan Evans Board Members Ezcused: Richard Artura; Ronnie Beyersdorf, Pat Cavanaugh, Julie Herren and Lisa Scarff Board Members Not Present: Ken Nelson StaffPresent: Patricia Cosgrove, Kristen Bruhahn. Erin Hash, Hilary Pittenger I. Call to Order and Approval of Minutes A. President Gerber called the meeting to order and asked for a motion to approve . ' the minutes. Tom Campbell moved; Judi Roland seconded and the Motion carried. Gator Chamberlain opposed. II. Board President Report A. Museum Calendar was reviewed.. Special attention noted for the upcoming Board Member Orienta.tion set for January 19, 2011 as that will be an extended meeting. B. Nominating Committee and Appointments: Jamie Bothell and Rlionda Larson have accepted presidential appointments to the Board. We also are hopeful that volunteers Cam Cutler and Amy Ridley (of BBCU) will follow through with their stated interest in participation as'well. A tentative slate of candidates was circulated but all candidates have not yet committed to theirproposed positions. The final slate will be submitted for approval in December. C. Museology 101: Small Works, Big Presents was discussed but a tour was dispensed with to save time. Patricia answered questions about item procurement and entry fees. III. Committees A. Finance Committee: 1. The Committee offered its proposed 2011 budget Discussion ensued. The proposed budget was moved for approval by Jennifer Hamor, seconded by Gerry Honeysett and approved. Gator Chamberlain opposed. 2. The October Finaneial Statement was reviewed. Discussion addressed a concern that the budgeted amount reflected for the expense of salaries and benefits for 2010 indicated in the Financial Statement was not the same as the 2010 figure indicated in the budget document reviewed for approval of the 2011 budget just approved. The Finance Committee members were able to explain the concem and assure the Boazd that 2011 figure budgeted was consistent with the committee's recommendation: Approved 12/15/10 . " B. Mary Olson Farm Committee: Judi Roland offered the report of the committee. The new caretaker is moving in soon. The gates are up. The house is nearing completion. The farm will be the background for a new music video by a Seattle, group that is going into production. C. Collections Committee: Hilary Pittenger offered the report and showed the Boazd new acquisitions accepted by the museum. Included were a 1972 photograph of the Green River and books and collections about the railroad. D. Halloween Costume Ba1T Committee: Patricia Cosgrove offered the report. Net proceeds agpeaz to be approximately $14,000: Revenue was down about 27%. Attendance was lower than hoped. There were 80 spots available that were not filled: : Megan Evans was recognized for excellent work on the program prepazation. It was noted as a good revenue earner and it is hoped that we can expand on this in years to come. IV. Staff Report A. Possible Income Projects: Patricia addressed new ways being considered to raise money aside from grant requests. Among the ideas aze use of stock photo promotion companies to sell photos available through the museum, professional development workshops, new programs at the farm (Dinner in the Field) and staffing estate sales. B. Education Program Update: Erin reported that Friday, 1 l/12, was a Night at the Museum. Ten families had to be waiting listed. Megan's child attended and enjoyed the experience. Farm tours are concluded for the year (918 6h graders, 1046 lst graders from the Auburn Schools plus Holy Family kids). Museum tours are beginning now. Three Auburn schools aze already booked. Tours for other nearby school district elementary schools (Enumclaw, Federal Way, Bonney Lake) are seeking spots as well. V. Around the table comments and Adjoum
