Call to Order The meeting was called to order by Joanne Macnab at 4:10 pm. Advisory Board Members present: Ronnie Roberts, Maggie Greenslit and Trudy. Ginther. City - Staff/Gouncil present: Market Manager Joanne Macnab, Councilman Bill Peloza, Parks Secretary Julie Mehl. 'Also present: Kathleen Keator, Executive Director of the Auburn Downtown Association. II. Minutes Trudy Ginther motions to accept May 2010 minutes, Maggie Greenslit seconds. IlL Market Manager Report - Joanne Macnab _ A. Had five rainy Sundays last season! . B. WIC sales $10,992.00, up 10% from 2009. C. We came in third place in the online "Favorite Market" contest: D. Coordinated `Community Response Against Domestic Violence' fashion show . fundraiser, will do again next year. . E. Strawberries,~ blueberries & blackberries wete donated to the Auburn Library for their summer reading program. F. 2,51pounds of food,was donated to the Au6urn Food Bank. G. In 2011 the EBT machine will be used. T[udy recommended we have signs stating that we accept EBT cards. H. "Doggie Days" was a very popular event. We would like to have "Senior Day" and "Kids Day". 1. We have acquired six shopping carts; thanks go to Bill Peloza and the Gity of Aubum Maintenance & Operations department. J. Bill Peloza asked Rob-Roscoe to put the roses on a pruning schedule. I K. Customer vendor survey showed the demographics, the hours customers frequented the market and what they enjoyed most about the venue. L. Act contest aPplicants - 24 kids last year, could be as many as 40 applicants this year. December 17 was,the official "kick ofF" date. Submitted art will then be sent to Jason Jones'in Multi Media for scanning. They will be scanned so we won't ruin original artwork ahd we don't'have to wor .ry about picking up from various locations af the end of the season. M. Joanne spoke with the cooking class teacher from Auburn High School and she would" like to have her students do a cooking demo atthe markef. N. Joanne Macnab toured Wesley Homes at Lea Hill and they will be bringing residents to the macket this year. They requested to have "bow making" and/or "flower arcanging" tables at the market. O: January 28 -29 Joanne Macnab and-Trudy Ginther will attend anAnnual'Conference in Leavenworth with over 200 market professionals>from around the state. , P. Budget -$1,403.85 is down $130 from what we expected. Wages are up $1326.62 because of earlier estimates. Other misc. up $1024. Other supplies for volunteer application luncheon & gifts and professional services are unchanged. BiII Peloza asked for °budget vs actual" columns. Trudy commented how nice it is to have butlgef numbers. . Q. AIFM has a Facebook page. IV. Correspondence/Public Input A. Bill Peloza recommends we call boerd members the day of ineetings to verify attendance. B. Trudy asked if A-,board signs should be cabled down so they.can be 1eft out tfiroughout town. She asked if there are any restrictions on locations and Bill Peloza replied no, the codes have been lifted as a result of fhe economy. - C. Kathleen Keator recommended we review "Experience Wash.ington" under Stafe of Washington tourism. There may be free advertising opportunities. D. Bill suggested all information regarding the marketflowthrough Joanne Macnab. He also wants the website information updatecl. E. Maggie Greenslit asked about the settlement regarding Darren Moon. Joanne said we towed the car. • _ . F. Kathleen Keator suggested we have more diversity at the market, as our title . includes "international°. She believes we need to reach out to diverse communities. She also shared there is a 99% chance of there -being a flea market to complement the AIFM. Kathleen asked if the market would be held in the new city hall plaza, Bill responded "no". Kathleen recommended we discuss parking. G. Bill Peloza is asking Sound Transit to re-route busses~from 8:00 am to 3:00 pm on Sundays.. Bike racks are still there, ten total per Rob Roscoe. Bill addressed the bike racks as well with Sound Transit. H. Bill Peloza shared the Dept of Agriculture denied our grant last year. He received a formal post grant report. The grant for 2011 will come out in August or September. VVe will begin with $35,000 rather than $50,000. V. Old Business A. Ronnie Roberts is trying to convince Christian McLendon, owner of new Auburn business "Oddfellas" to become a board `member. He's excellent at marketing. B. Chair election: Ronnie Roberts motions Trudy Ginther be 2011 AIFM chair person. Maggie Greenslit seconds. All other members agree unanimously. Bill Peloza`recommends we nominate a vice chair: Ronnie Roberts nominates Maggie Greenslit, Joanne Macnab seconds. VI. New Business A. Trudy Ginther recommends we review and update the 2011 Vendor Application Rules & Regulations. Updates should include: "May we share your information with...." And "vendors are not required to attend every week". B. The board agreed on market hours from 9am - 2pm. C. Stall fees are now $25 per week. Average vendor sales in 2010 were $225. 35 vendors per week average: Ronnie Roberts does not want to charge vendors a percentage of their sales. Maggie Greenslit recommends we give new vendors their frst Sunday free of charge. Bill Peloza would like to raise stall fees $5 this year and another$5 next year. Other markets charge for truck parking, $5 -$10. If they want to park next to booth, they are charged $30 for stall fee: Motion to increase sfall fee to $30 per week and $15 for parking with market manager discrefion to lower on an as needed'basis, was seconded and approved by the board. We are charging $10 per day for electricity, other markets only charge $5 per day or $20 for entire season. Ronnie Roberts motioned to change electricity prices to $5 per week or $20 per entire season. Unanimously approved by board. Maggie Greenslit - mentioned the need for WIFI at the market.and Bill Peloza responded that it won't be available. ' , . D.. Application.changes: "Smoking is-not allowed", "Items for sale not meeting image standards will not be allowed", "Vendors are responsible for instructing assistants/employees regarding market rules." E. Banners & A Frames - new banner on south side of garage will cost $1000. Simple with less colors cost less: Old bannerwill be posted. in a different location. Maggie suggested a white banner with red lettee'ing. Trudy suggested the logo be done in black & white. Joanne will gef pricing. There-. . are eight A-frames in storage to be updated. Trudy wants to know if we can . drilf holes and cable down signs so we can leave them, out all season. Joanne will look into. Banners will be posted mid May on fhe north side of the rail bridge. _ F. Sponsorship committee = Need to decide on different levels of sponsorship- and what they would receive. Ronnie Roberts motions to email out so board members can review and discuss at the next meeting. Trudy Ginther - seconds: V. Board Recommendafions/Input . A. Linda Morris ferm expires April 21, 2011, we need to fill one~more position which must be approved by the Mayor. - B. Joanne is working with Karen 'Henry at the Auburri Reporter. Do we want to advertise? C. A bill is being constructed in Olympia that will allow beer & wine tasting at. Farmer's Markets. - VIII.
