HomeMy WebLinkAbout02-16-2011 White River Valley Historical Society Board Meeting Febnaary 16, 2011, 1:30 to 3 p.m. Muckieshoot Room, White River Valley Museum - Members present: Richard Artura, Ronnie Beyersdorf, Jamie Bothell, Tom Campbell, Pat Cavanaugh, GatorChamberlain, Cam , Cutler, Megan Evans, Julie Herren, Rhonda Larson, Mike Miller, Ken Nelson, Kim Perry, Judi Roland, Lisa Scarff Members excused: Michelle Marshman, Mel Sinex Members not present: Gerry Honey,sett , Staff present: Pafricia Cosgrove, Kristen Bruhahn, Erin Hash, Hilary Pittenger, Janet Wells ` Guests: Gordy Nishimoto and Anne Fitzsimmons, White River Valley Museum volunteers 1. Call To Order, Introductions, Approval of Minutes President Judi Roland President Roland called the meeting to order and asked for the approval of the minutes for December 2010 and January 2011. MOTION CARRIED A condolence card for Pauline Pierre was presented for members to sign. II. Chair Report President Roland A. President Roland reviewed the museum calendar B. Free: Wednesday Request, Free Wednesday request packets are prepared by the museum for distribution by board. mem6ers. A sign-up sheet passed around the room wilf indicate commitments to make - contact on behalfof the museum. C. Museology 101, Volunteer Program Janet Wells Janet Wells, characterized as passionate and gifted in her worlc as volunteer coordinator by Fatricia Cosgrove, introduced two volunteers Anne Fitrsimmons and Gordy Nisfi'imoto. Anne has served the museum with volunteering for the past 6 years. She enjoys working on behalf of WRVM and especially finds interesting the many different people she meets here. Gordy, who has 7 to 8 years of volunteering history with the museum, is a past president of the WRVM board of directors. He-appreciates how serving the museum leads to leaming more than you everthought you could & how volunteering ties you closerto the museum. Janet Wells applauds the staff & volunteers of the museum, commending their dedication and commitment.: Generallythere are 2 docent shifts each day the museum is open, for special events 5 or 6 volunteers are needed and on the 0 of July at,least;25 volunteers support the museums activities. Judi Roland thanked Janet Wells, and volunteers Anne 8 Gordy for their presentation and their gifts of self on befialf of the museum and requested `that thanks also be exfended to all _ volunteers. Board members are encouraged to introduce ourselves to volunteers if the opportunity avails itself. IIL Committees A. Finance Committee Treasurer Ronnie Beyersdort -1- • 12/31/2010 Financial Statement and 01/31/2011 Financial Statements Treasurer Beyersdorf reviewed the yearend report from 2010 and the month end report for January clarifjiing the details. The board is encouraged to focus on the revenue side of the report and recognize the importance of their roles in enhancing income from Free Wednesdays, Halloween Ball and use of the gift shop. B. Collections Management Committee Jamie Bothell • The committee met to review & decide upon items donated tothe museum. An ongoing issue for collections is a backlog in cataloguing: Next meeting 04/13/11 at 3:30 p.m. C. Education/Events Committee Mike Miller • Committee meets following the monthly board meeting. Members ace assigned to events. A presentation on planning calendar of anticipated events will occur atthe March board meeting. D. P.R. Committee Tom Campbell • Corrimittee meets following the monthly board meeting. • New E-bulletin is initiated. E-mail addresses are requested to expand exposure. • P.R. firm connection is desired. A request for input from board members who have P.R. contacts is extended. E. Halloween Costume BaII Committee Ronnie Beyersdorf; Kim Perry, Gator Chamberlain o Event date Sat. October 29, 2011. Materials to be printed right away. Tickets will be disfributed #o board members who are expected to sell or purchase the tickets with rapid - tum-around. • Good news! Early start to sponsorship provided by BECU! , • All board members are considered members of this committee and the success of the event is dependent upon the efforts of each member. e A sponsorship rally is proposed for a date to be determined during the month of May; to generate goodwill and fun using a shot gun approach toward cold call contributions acquired by board members will be rewarded with good eats, good drinks and awards for successful solicitation. , IV. Staff Report Paficia Cosgrove A. The search for a Curator of Collections resulted in 12 qualified applicants on the master's level. Six applicants will, interview Friday, February 18"' at the museum. Staff involvement is encouraged. B. 2011 Exhibits were reviewed. Sponsorships for exhibits range from about $2,000 to $4,000. V. Board Member Comments around Table President Roland .
