HomeMy WebLinkAbout05-18-2011 White River Valley Historical Society Board Meeting May 18, 2011, 1:30 to 3 p.m. Muckleshoot Room, White RiverValley Museum Members present: Ronnie Beyersdorf, Cam Cutler, Mike Miller, Judi Roland, Gator Chamberlain, Kim Perry, Ken Nelson, Mark Thomason, Sharon Maddex, Rhonda Larson, Jamie Bothell, Tom ~Campbel) - Members excused: Pat Cavanaugh, Julie Herren, Megan Evans, Richard Artura, Lisa Scarff Members absent: Jerry Honeysett - Staff present: Patricia Cosgrove, Kristen Bruhahn, Erin Hash, Rachael Burrum, Hilary Pittenger 1. Call To Order, Introductions, Approval of Minutes President ludi Roland President Roland called the meeting to order with two introductions. Our first welcome was extended to Mark Thomason, newest board member. Mark is a Professor of'History at GRCC. We then met Rachael Burrum, new Curator of Education. Cards of appreciation were distributed to be signed (Bud Kuhlmann forintroducing education staff to ASD principals.) President asked for the approval of the minutes for April 2011 meeting. MOTION CARRIED II. Board President Report ' Judi Roland A. President Roland reviewed the museum calendar noting the upcoming meetings and upcoming museum events. B. Museology 101, Intro to New Exhibit Patricia Cosgrove Patricia took the board members through a tour of the new exhibit. C. Executive Committee . Judi Roland Presented information to board regarding decisions recently made by the Executive Committee, including decision to defer rental prospective at the facm. Regarding the opening of the farm for visitors, will be charging $5 #or adults, $3 kids and seniors, $15 for household or family. III. Committees (Items for Vote*) A. Finance Committee Tceasurer Ronnie Beyersdorf Ronnie discussed the report that reflects we are operating just aboye what our income and expenses were expected to be. Additional conversation to clarify details of revenues and expenses. There were no questions. The OPM report reflected some grant funds that have come through to help finish up the catalog as well as setting up signage at the farm. We would like to celebrate the Station Bistro as an official sponsor for the Hops'N Crops event (obtained by Mike Mi(ler). The board enjoyed an interruption provided by the Auburn Youth Council representatives who shared that they have agreed to present a$500 donation specifically toward the WRVM Heritage Kit Program. The council was represented by Jim, Kirsten, and youth council rep Jennifer who identified that the program was selected given the high interest in the history of the area and the overall contributions of the kits. - ' B. Collections Management Committee* lamie Bothell - C. PR Committee Tom Campbell News Tribune, SeattleTimes promotion solid with regard to the current exhibit. Rottles Co-promotion Patricia has been celebrated for creating partnership with Rottles, representing our associations that exist within in the community. The committee is now focusing on preparations for the next exhibit-focusing not only on the exhibit itself but also on continuing`the development of relationships with other area businesses (reaching out to area funeral homes, etc.). ~ D. Education & Events Committee Mike Miller Farm Opening June 18, 11a.m. to 2 p.m.=Board members are encouraged to attend! Committee'is working with Kirsten and Jim to organize volunteers to help with the opening of the Mary Olson Farm, but it competes with an event oftheirs. Will go to the farm for our meeting today to check things out. Vendors and entertainers are being arranged. Supplies are reserved for the event courtesy of City of Auburn (Mike). , E. Halloween Costume Ball Committee Ronnie Beyersdorf/Kim Perry • Decorations, Judi Roland-subcommittee will be traveling to the Casino to review the room. o Sponsorships, Gator Chamberlain/Cam Cutler-working on developing the sponsorship run-will be letting us.know the date soon. The emphasis on raising money will start with a breakfast and then areas to canvas in teams to ask for donations and sponsorships. This will be a competitive event with incentives O. o A suggestion was made to share lists of preferred or current contacts so that : we don't duplicate requests. Patricia agreed to collect and share lists with all. o Printed Program,lamie Bothel/Megan Evans-Ronnie sharedthe existing list of sponsorships already sold for the program. Board members are encouraged to continue to promote fihe event and the idea of sponsorships/advertising space in the program. • Silent Auction, Sharon Maddax-gift basket ideas celebrated and ideas for support were shared. o Ticket Sales, Kim Perry-Ticket packets handed out at the last meeting. Please make an effort to sell them (each board member is responsible for selling one . ` table-8 seats) . IV. Staff Report ` A. Museum Director Patricia Cosgrove ■ Mother's Day Tea-turned out wonderfully! ■ 2012 Exhibit Sponsor Quest-Patricia shared the Exhibit schedute for 2011- 2013: Board members were surveyed to see if they have any ideas for sponsorships; ideas were collected. President Roland extended an invitation to all to share these ideas with others and bring ideas, enthusiasm, and even sponsorship. An idea was shaced to include farm equipment in the farm exhibit. ■ LOTS of feldtrips, good time to shadow one. ■ An invitation was again extended to visit during a kids tour-plenty to choose from on the calendar distributed today.
