Advisory Board Meeting Minutes
Friday, April 27, 2012
Auburn City Hall Annex Room #1 - 3:00 pm
Call to Order
The meeting was called to order by Trudy Ginther at 3:07 pm. Advisory Board
Members present: Trudy Ginther, Maggie Greenslit, Mark Wayne, Paul Mallary,
Linda Morris, Ronnie Roberts. City Staff /Council present: Market Manager
Joanne Macnab, City Council member Bill Peloza and Parks Secretary Julie
Mehl.
Minutes
Mark Wayne moved to approve March minutes, Ronnie Roberts seconds.
III. Market Manager Report — Joanne Macnab
A. Currently have 31 vendors for 2012. 14 Farmers, 10 Craft, 5 Processed
Foods, 2 Prepared Foods, 5 Non Profit.
B. The City of Auburn Planning Director has determined that the City Ordinance
governing the signage in the Kiss & Ride lot will have to be revised. He is also
checking with Sound Transit to make sure any revision will not be in conflict of
our lease agreement with them.
C. The posters are in and 10,000 bookmarks went to print April 26.
D. Volunteer meetings will now be bi- monthly until market opening. Ten
volunteers attended the Community Volunteer Luncheon on April 19th. We sang
our "Market Party Song" to all. It was decided at our last volunteer meeting that
we will sing our market song on opening day.
E. It appears we will have up to ten Boy Scouts (aged 11 to 17) to help with the
set up on opening day. The leader working with Joanne is running a merit badge
workshop based on volunteering at the Farmer's Market, so we should have
plenty of scouts volunteering.
F. Our own Diana Johnson (Outreach Coordinator for the City of Auburn) has
agreed to teach food preservation classes at the market. She teaches canning,
freezing and dehydrating on a regular basis. Since she is a City of Auburn
employee, she must contract each demo as a separate event, rather than have
an ongoing contract with the farmers market. These classes and fees are yet to
be determined and pending receipt of the KCD Grant funds.
G. Banner Schedule — Mid May, five fence line banners and Auburn Transit
Center Garage. May 14th, north side, Auburn Way Rail Bridge. May 28th, double
sided banner on Main Street.
H. Have been searching for a product that Waste Management would be willing
to purchase or provide financial assistance towards. Trudy & Joanne saw a
sampling demo mobile food cart which would be ideal; it is currently on sale for
$1,974.50. The original price is $3,399.00.
I. The Garden Club is reluctant to move their annual plant sale from the location
they have had for several years (Peckenpaugh Drugs parking lot). They do want
presence at the market so they would like to have a booth on opening day and
one more Sunday (TBD) during the season.
J. Hoodies for the volunteers and t- shirts for the participants in the AHS poster
program have been ordered. We were not allowed to revise the logo on the back
of the hoodie as discussed at the last board meeting. Due to funding Joanne
only ordered enough hoodies for the volunteers that participate in set up and take
town each Sunday. 50 t- shirts were ordered to accommodate a possible 40
poster program participants. 20 hoodies totalled $400.00, 50 t- shirts totaled
$349.60.
K. Joanne met with Diane Sarr April 26. Posters are in the early stages of
production. This year we are getting release forms for each student's artwork.
The last day of school for seniors is June 14th. Joanne will have the Certificate of
Appreciation folders and t- shirts delivered to the school before that date. Artwork
is expected to be ready for proofing in approximately three weeks.
L. Joanne spoke with the King County Health Inspector and all our permits are in
order and ready for the season. Joanne spoke with Nanci Clark, Senior Leasing
Document Coordinator for Sound Transit and they are completing the lease
agreement and will forward to the City of Auburn Risk & Property Management
shortly. Joanne is still waiting on the Right of Way Use Permit from the City of
Auburn. It was applied for on February 9. This permit will be issued in
conjunction with the revision to the City of Auburn Ordinance for the Kiss & Ride
lot.
IV. Council report — Bill Peloza
A. The request to Waste Management for the cooking demo unit will most likely
be approved.

B. Bill attended a Cities in Schools meeting and Dr. Kip Herren requested
market posters for each Auburn School. Joanne delivered 25 posters to the
Administration building and Kip Herren will ensure they are distributed to all
schools in the Auburn School District. Joanne reminded folks that we have
already distributed 125 posters.
V. Correspondence /Public Input
A. Trudy Ginther has been asked from a variety of people when the market will
be opening.
B. Maggie asked about the status of Ciscoe Morris appearing at the market with
a television crew. Joanne had to drop because of the cost.

VII. New Business
A. Maggie Greenslit reports the Master Gardeners will attend the market each
week.
B. Maggie reports that Jenny Windham with the Africa Children's Dance Group
will attend September 2nd, she will want a booth. Maggie will follow up with her
and forward to Joanne. This will be posted on the Diversity portion of the city
website.
C. Joanne reports there is a new sponsor for Dog Days. Pet Pro's of Lakeland
Hills will donate $250 - $300 worth of goodies & prizes.
D. Bags - Joanne met with Debbie Luce and was told their contact with Emerald
Downs did not go through. Debbie is working on other sources and she and
Joanne will meet again on May 41n
E. Bill asked Joanne to contact Sound Transit to weed areas at market site.
VII. Board Recommendations /Input
A. Joanne has a potential vendor "CJ's Southern Barbecue ". They would like to
sell barbecued chicken, pulled pork sandwiches etc. They will be using charcoal
briquettes, which is against the AIFM Rules & Regulations as a result of a
previous vendor dumping them at the site. Ronnie Roberts advised to run it by
the City Legal Department or Parks Department. Trudy asked if we can approve
the vendor. Linda Morris suggested a hold harmless agreement regarding
briquette disposal. Linda Morris moves to request city approval on an
individual /per vendor basis to allow CJ's Southern Barbecue to attend the AIFM
with guidelines regarding disposal of charcoal briquettes, and adequate
insurance coverage. Maggie Greenslit seconds and all in attendance agreed.
B. Kids Day Flyer — Trudy Ginther will ensure flyer is sent out via "kid mail" to all
elementary age students in the Auburn School District. They will be delivered to
schools and will go home with students. Bill Peloza suggests there be two face
painters on Kids Day. Joanne adds the mascots are not available on opening
day. They can be used on Kids Day and include an apple, carrot, grapes &
broccoli and they have been reserved.
C. Maggie reports that the Master Gardeners will attend the plant sale on May
4t ", Chef Graham Kerr will attend as well. She plans to inquire about having Mr.
Kerr attend the market this season.
IX. Adjournment
There being no further business, the meeting was adjourned at 3:50 pm.
