HomeMy WebLinkAbout05-16-2012Approved 6/20/12 White River Valley Historical Society Board Meeting Minutes May 16, 2012, 1:30 to 3 p.m. Muckleshoot Room, White River Valley Museum Board Members Present: Jamie Bothell, Pat Cavanaugh, Cam Cutler, Megan Evans, Kelly Gordon, Julie Herren, loan Mason, Ken Nelson, Kim Perry, Mike Weibel Board Members Excused: Richard Artura, Gerry Honeysett, Rhonda Larson, Mike Miller, Mark Thomason Staff Present: Kristen Bruhahn, Rachael Burrum, Erin Hash, Hilary Pittenger, Janet Wells Call to Order, Introductions, Approval of Minutes President Megan Evans asked board members to introduce themselves by sharing summer activity plans. Minutes of the March meeting were reviewed, Cam Cutler made a motion followed by Jamie Bothell to accept the minutes as written, Motion Passed. Hilary Pittenger introduced board members to the museum's procedures related to maintenance of the permanent collection reviewing each step with a power point presentation. 11. Board President Report President Evans reviewed of Museum Calendar making note of the upcoming committee meetings and volunteer opportunities. The July board meeting, originally scheduled for July 18th, is cancelled. President Evans discussed the two open positions on the board and shared the names of two potential members with whom she will make contact in the near future. Board members special task contributions occurring within the last month were celebrated. President Evans is pursuing contact with 'American Girls' who market historically themed dolls & accessories with the thought of planning a museum or farm event. Mike Weibel has acquired two sponsorship commitments, Mosby's & The Rock, who will contribute towards the Hops & Crops event. President Evans encourages the board to "think of how you can use your connections so I can celebrate your contribution at our next month's meeting!" III. Committees Treasurer Jamie Bothell reviewed the current treasurer's report, which continues to show a greater positive balance of earnings over expenses than at this time last year, as well as reviewing the O.P.M. grants awarded & applied. He commends the staff efforts regarding respect for budget and efforts toward grant writing. Chair Kim Perry reviewed progress being made planning for the Halloween Costume Ball which will be held on October 27 at the Truit Building. Decisions made since last report are establishment of a color theme & to use a disc jockey to provide music as well as fulfill a role as host /master of ceremony. A sheet suggesting basket donation ideas was circulated at the board meeting. Cam Cutler and Richard Artura are leading the effort toward acquiring sponsorships. The attendance goal is 25 tables each seating 8 persons. All board and staff are obliged to be involved in this event. Save the date cards will be sent to those on the prior attendee list and will also be available for board members to distribute to potential new attendees. IV. Staff Report Staff member Rachael Burrum has organized a Kid's Day activity which will be set up in the park. This will allow the museum to solicit electronic mail contacts to enhance our contact base while simultaneously providing children & families the opportunity to add original art to a paper quilt in the museum. Board members were encouraged to decorate quilt squares during the board meeting which will be used to get the project started. Janet Wells provided an overview of the upcoming events and the volunteer support required to make these events successful. Three main activities requiring volunteers are: #1 staffing the farm every Saturday and Sunday throughout the summer. There are two shift times, 11:45 to 4:00 & 1:00 to 5:15. #2 volunteer staffing for the Les Gove Park 4th of July celebration. There are two shift times, 11:00 to 1:30 & 1:30 to 4:00. #3 volunteer staffing for the Hops & Crops on the 151h of September Janet Wells stressed the need for many volunteers for these 3 events. She will provide a farm volunteer training on the 22nd of May from 10:00 to 11:30. All board members are encouraged to participate. On June 7th, a clean -up activity is planned on the grounds of the Mary Olson Farm and REI employees, organized by volunteer Scott, are committed to participate. Board members and their family & friends are encouraged to come and join the work groups. V.
