Call W Order The meeting wag called to order by Trudy Gintherat 3:10 pm.. Advisory Board Members present: TFudy Girrther, Maggie Greenslit, Mark Wayne, Linda Moms, Ronnie Roberts.. Board members not in attendance: Christian McLendon, Trenity Walker. City Staff/Councii present: Market Manager Joanne Macnab, City Council member Bill Pelo7a and Parks Secretary Julie Mehl. ' II. Market Manager Report—Joanne Nlacnab 2012 Season Review The AIFM had 59 registereil vendors (ancl a tivaiting list of 9) Averaged 31 vendors per market day forthe 16 week season Opening Day 31 Vendors � Closing Day 26 Vendors Shopper Count 23,90T The 2011 season was 19,785 Increase of 20�0 Rainy Days 0 Revenue Generated $16,890 Gross Vendor Sales $146,362 Food (in pounds)donated to the:Autium Food Bank 1,510 @ $1:66 per pound = $2,507. WIC Total Sales $9;271. l'he 2U11 season was$7,710. Increase of 20% `This figure is basetl on vendor reporting, not actuals from the - Department of Health � � 1 n • We participated in the American Fartnland Trust"America's Favorite Farmers Markets" contest: Purpose: Spread the No Fartns, No Food message andto raise national awareness about local farmers markets;�the role they play in supporting local farmsand food and the importancs of local farms anii farmland to ouc communities. Contest ran from June 22, 2012 through Se�tember 3, 2012 Results: In Washington.State overell - 5 Place Market of our size (31-55 vendors) In WA State - 1"Place The contest ran foroniy74 days this year as compared to 92 days for the last two years. Community Service: • Opening Daywe provided booth space to Boy Scout Troop#401 for the Military Pocket Flag Froject: They raised enough money to purohase another 600 Fiags. Throughout the season, in exchange for volunteer help during set-up and take- down, Troop#401 sold first aid kits and popcom • We sponsored a fashion show to bring awareness to the Aubum Domestic �olence Organization • On Senior Appreciat'ion Day, we sponsored a pet adoption event through;the non-profit Pawsitive Alliance Organization , • We featured two gardening seminars with Marianne Binetti 1. Growing Younger in the Garden on 7/1/12 2. Fall Gardening'Tips on 9/23/12 • July 15"'; Dog Days of Summer, we featured the Greyhounds Pets of Artierica, . Missing Pet Partnership and 2 Million Dogs/2 Miles, which is an organization 6ringing awareness to canine cancerand comparative oncology. • Ciscoe Morris gave a seminar on July 22ntl "Must Have Plants& Garden,Tips" He brought a record 3,000 visitors to the market • WIC also came to the market on July 22nd. We provided recipes to the WIC clients.These recipes featured foods that were eligible for purchase under the guidelines of the FMNP and available at the market. We also displayed a comucopia of eligible fruits and yegetables for the:non English reading clients. The King County Department of Health, WIC FMNP was 'impressed with our efforts to accommodate their clientele and requested these recipes for distribution at their offices. ' The WIC Gients spent a record $4,689. at the market on July 22ntl., • July 29"'was Kids Day. We had the VRFA Fire Engine on site providing water safety demonstrations to children. This year they§tayed for the entire market day. We also had the King County LibraryrTo-Go van telling short stories and providing children with lots of giveaways. . • We had our first Chili cook-off on August 26"' between the Aubum Police Department and the VRFA. All donations went to the Aubum Food Bank. We raised $fi71.00 from.the event. The Aubum Police Department received 61 votes and the VRFA received 52. • On September 2ntl, our Intemational Day featured the Folklore Mexicano Tonantrin Group and the Matsiko World Orphan Choir: Both groups were a wonderful addition to the marlcet and both have requested an appearance in 2013. 2 . 2012 Major Accomplishments: . • We provided booth space to 16 non-profit organizations � Total of 52 boo4hs for the 2012 Season • • We provided booth_space to 15 local �mmunity service organizations Total of 33 tiooths for the 2012 season � With a special thanks to Mr. Peloza, we received a portable demonstration cart " from Waste Management . • We were on KIRO FM Radio (97.3)3 times. July 21, 28 and September 22. • Agreement with Sound Trensit for the continued use of the bus iane • Received a $20,000 grant from KGD for Marketing, Demonstrations and Education We have developed a relationship with Marianne Binetti and she Fias agreed to , assist us in recruiting potential new vendois (famiers)from the City of Enumdaw. I will begin working with tier after the liolidays. Our 2013 maricet poster was composed tiy Mariana Rubio. All participating AHS students�received a Certificate of Appreciation and an AIFM 2012 t-shirt. Mariana will be recognized during our opening day ceremony on June 9, 2013. In May we applied for a$20K grant,from the:USDA Farmers Maricet Promotion Program. On October 3'"we were hotified that the FMPP was only able to fund 35% of the submitted projects and we were not selected for funding. I have requested the reviewers'scores and comments. There were only two grants awarded in the Sta4e of Washington. 1. $40,916. Twisp Public Development Authority,-Twisp, WA 2. $71,105. Washington State Earmers Market:AssociaUon, Seattle,WA j One of our fence line banners was sliced this summer. Mike Miller is checking to see if it is repairable. In regards to the chili cook-off, the Aubum Food Bank released their quarteAy newsletter, and in the Letter from the Fre§ident section, they mentioned the chili cook off. It read: RecenUya chili cook off,between the Aubum Police Department and the Valley Regional Fire Authority tirought in.mnch needed funds to help support the cause of the Aubum'Food Bank. They chose this as a way to raise money; develop a sense of teamwork and show civic pride. It was a great success for all those reasons! . There was no mention that Me AIFM volunteers originated, o►ganized, sponsored and chose the Aubum Food Bank as the recipient of the funds raised by the cook , off. During the end of the season 4olunteer meeting which was held on October 18"', several volunteers expressed their disappoin4merrt in the lack of recognition the market received. - 3 . On October 19'", Debbie Christian, the executive director of the Aubum Food Bank sent me an e-mail in which she apologized for iheir error and posted a very nice statement on both the AIFM and the Food Bank facebook pages recognizing the efforts:and long standing support of the AIFM volunteers and the Market. . 2012 Customer and Vendor Survey (Gopiesto be distributed to board members) • Vendor survey& shopper survey time issue— 18 vendors would like:to wntinue with the 9:00 am=2:OO.pm market hours. The second most populer market . hours are 9:00 am-3:00 pm, third place is noon—4:00 pm. Joanne dces not feel the breakfast crowd is participating in the ma�lcet Six ventlors come from East of the mountains and,like to ieave at 2:00. Shopper count numbers— 1,494. 153 averege from 9:00 am — 10:00 am, 413 from noon to 1:00 pm, from 1:00 pm to 2:00 pm the numbers decrease. Joarme believes we sHould leave the market hours as is, from 9:00 am—2:00 pm. Mark feels that since it`s guite slow from 9:00 am to 10:D0 am, we:may want to consider changing the market hours back to 10:OU am.-3:D0 pm. Ronnie Roberts motions to change the market hours to 10:00 am —3:00 pm, Mark Wayne seconds. All ofher board members are in favor. ., Linda attended ihe Washington State Fartner's Market Association Iocal meeting/workshop, They calculate the value of a volunteer's time at $21.79 per houc 932 hours= $20,308.28. � Received a partnership proposal from the_Aubum Cultural Arts Division, they would like us to select films to be included in a documenia.ry film series showcasing food consciousness in the US. It woutd be good exposure 8 advertising. The flm series would be part of the 2013- 14:art series and.listed in the BraVO 6rochure. IV. Council report—Bill Peloza Bill is,working with Sound Transit for W i-Fi connection atall of their Vansit. stations. Storage security concems—too many folks have a key to storage unit. Joanne, Bill and Daryl Faber will meet to solidify situation. There is`a.lot of valuable equipment and supplies stored. Bilf handed out an invitation for'A Roundtable Discussion on the Future of Agriculture in King County' to be held on November 1 irom.5:30-8i30 pm at the Kent campus of GRCC, 417 Ramsay Way, Suite 112, Kent. ; 4 . , Bill has spoken to the Mayor, the cities of Algona and Pacific are not pulling their weight, and perhaps they'should contri6ute two or three thousand each. Over the Christmas holiday Bill will put something together for the Mayor and send to Algona and Pacifia 2013 Outreach- $2,300 grant funds remain for food demos. .Bill called the KCD grent manager and asked if we could change ttie designation of the funds. She said 'sure' we just need to change our reporting. If we purchase apparel or hats; KCD would like #heir logo included on ouritems. Ideas discussed, market bags, card board coasters distributed to local restaurants, utility bill inserts, aprons. Linda motions to purchase promotional items for saie at the market, Maggie Greenslit seconds. V. Correspondence/Public Input Len Elliott sent a letter in response to suggestions to move the market location.. He feels the market should stay at the Sound TransiYStation. Ronnie Roberfs feels the Plaza Park was designed:for a market and believes it should be moved eventually to Plaza Park. Plaza Park is'larger, and market locations could go down the street. We should have an altemative if Sound Transit denies use of theirspace. 'A' street would be a very visible location for the market simply bepuse of the folks in the area. VI. New Business VII. Board Recommendations/Input Ronnie would like to see °k of change from prior year to current year on the 'End of Year' market stafisticspread sheet. Maggie reports the Master Gardeners booth had 738 contacts in 2012, 407 in 2011. This increase could be due to the visfts of Ciscoe Morris and Marianne Binetti. Bill Peloza asked that the Master Gardenerdata be added to the EOY spread sheet. Joanne added she hasdata for the following years: 2010, 2011, and 2012 - Vendor incentive discussion —A discounted price was discussed for vendors who sign up and pay for all 16 weeks. Possibilities included a 20% discount, or a week or two at no charge. Joanne would like to offer new vendors`an incentive to grow the market while still allowing tHe existing vendors choice Jocations. Advertising budget—Joanne reports the postage alone for mailing 16,580 postcards was $2,300. She also reports that Facebook ads were priceless. Ronnie Roberts suggested the budget and advisory board member appointments be discussed;at the January 18 meeting. Linda reports we have had 1,100 'likes' on Facebook: 5 r IX.
