HomeMy WebLinkAbout12-19-2012Approved 1/16/13 White River Valley Historical Society Board Meeting MINUTES December 19, 2012, 1:30 to 3 p.m. Muckleshoot Room, White River Valley Museum Call To Order, Introductions, Approval of Minutes A. The minutes were reviewed and approved as written. B. President Evans asked board members to speak to their readiness for the upcoming holidays as the Icebreaker of the Month. Turns out almost no one was ready. C. For Museology 101 Janet Wells, Volunteer and Facilities Coordinator reviewed the museum's volunteer recruiting and training program. Vitally valuable volunteers Gary Moberly (who also serves as the caretaker at the Farm,) and Millie Bushnell spoke of their experiences volunteering and the value they see the museum and farm provide the community at large. Janet noted that the annual training for docents will be on January 28, from 10:30 to 2 pm. II. Board President Report & Special Committees A. President Evans asked Patricia Cosgrove to review some of retiring board member Julie Herren's contributions over the years. Along with providing wonderful advice on group dynamics using her skills as a counselor, Julie has served as the chair of the Halloween Ball Committee, Secretary for two years, and helped with the creation of our Long Range Plan. Her humor and ingenuity will be missed. She was sincerely thanked for her six years of service. 2013 Nominations: Vice President Pat Cavanaugh presented the recommendations of his committee, made up of Mike Miller, Mike Weibel and Kim Perry. On the Society side of the board Doug Lein and Jamie Bothell were nominated to return for second terms, and museum volunteer /REI administrator Scott Gibbons was nominated as a new board member. On the City side, Auburn Mayor Pete Lewis has agreed to re- appoint Megan Evans, Ken Nelson and Pat Cavanaugh to serve second terms, and new and returning friends Rosella Mosby and Ronnie Beyersdorf for partial terms. It was asked if there were any nominations from the floor, and hearing none those Society Members present voted to approve the Historical Society nominees as recommended by the Nominating Committee. The Nomination Committee recommended that the following individuals serve a second year in office: Megan Evans President, Pat Cavanaugh Vice President and Jamie Bothell Treasurer. Ronnie Beyersdorf was selected as Secretary. These recommendations were accepted unanimously. III. Committees A. Treasurer Jamie Bothell presented the November 2012 financial statement, OPM Report and Cash Reconsiliation. It appears that the Society will close out 2012 with a small surplus making most target budget amounts except those influenced by foot traffic at the Museum. Visitation has been slow, which brings down Admissions, Door Donations and Gift Shop revenue. Jamie looks forward to a Public Relations Committee looking into ways to advance visitorship. IV. Staff Report A. Educational Assistant Erin Hash gave a thorough report on 2012 School Programs. In short, this small museum provides a very large number of high quality field trip activities to students from both Auburn School District and out of district schools. We toured 1395 first grade and 983 sixth grade students at the Farm and 2995 students at the Museum in 2012. While fees are waived for Auburn School District students touring the Farm, we earned over $9,000 in the overall field trip program. Growth was primarily seen in the number of students visiting the Museum in20l2. BRAVO Educators! B. Patricia Cosgrove reviewed e project shehesundertekentuneseerchnevvgnant seeking opportunities which has brought about an application to the National Fish and Wildlife Foundation and the TateuchiFoundation. Other applications derived from this research will be completed throughout 20l3. C. Curator uf Collections Hilary Pittenger described e new Museum endeavor: partnering with the Auburn Police Department to archive their photos and select historic documents. V.
