HomeMy WebLinkAbout09-19-2013Approved 10/17/12 White River Valley Historical Society Board Meeting Minutes September 19, 2012, 1:30 to 3 p.m. Muckleshoot Room, White River Valley Museum Board Members Present: Richard Artura, Pat Cavanaugh, Megan Evans, Julie Herren, Rhonda Larson, Joan Mason, Mike Miller, Kim Perry, Mike Weibel Board Members Excused: Gerry Honeysett, Mark Thomason Board Members Absent: Jamie Bothell, Ken Nelson Staff Present: Kristen Bruhahn, Patricia Cosgrove, Hilary Pittenger Call to Order, Introductions, Approval of Minutes President Megan Evans called the meeting to order at 1:39 pm, asking board members to greet one another by sharing reflections on the Hops & Crops event. It was noted that event attendees tended to be rather happy people, very few grumpy people, and the weather was perfect. All were happy to see Mike Miller sitting amongst us once more, a survivor of the slings & arrows of life! Minutes of the August meeting were reviewed, Pat Cavanaugh made a motion followed by Mike Weibel to accept the minutes as written, Motion Passed. Museology 101, Patricia Cosgrove provided an overview of the plans in work to establish livestock shelters on the Mary Olson Farm land. Descriptions of livestock & structures, as well as funding for such were complimented by visual handouts. Board President Report Patricia Cosgrove introduced, in absentia, Bill Greene of Reber Ranch who will join us in serving on the Board of Directors for the White River Historical Society. Also discussed were the two potential members, Greg Dobbs of Edward Jones & Doug Lien of City of Auburn, who may fill the open positions on the board. III. Committees Finance Committee: Treasurer Jamie Bothell was unable to attend this meeting and in his absence Kristen Bruhahn reviewed the current treasurer's report. Richard Artura addressed the finance committee's work related to investigating the potential of establishing endowments to provide stable financial support for continued maintenance of the museum. Following discussion, Richard Artura made the following motion, "To explore the feasibility of developing an endowment fund for the Museum with the assistance of Cam Cutler's firm, Northwestern Financial Services of Auburn, Washington. The finance committee will work with them to determine the type of endowment to create and amount of money needed to fund it with donor donations as well as the time necessary to complete the endowment funding. The finance committee will also create rules and procedures for the endowment. The finance committee will then present its findings and recommendations to the full board to vote for approval, make modifications or reject ". The motion was seconded by Pat Cavanaugh and unanimously approved by the board. Collections Management Committee: Hilary Pittenger reviewed the written committee report while sharing a glimpse of the items accepted into Permanent Collection and Education Collection. Acceptance of the report and approval of the actions of this committee was moved, by Julie Herren, seconded, by loan Mason, and unanimously agreed upon by the board. Halloween Ball: Chair Kim Perry reviewed progress being made planning for the Halloween Costume Ball which will be held on October 27 at the Truit Building. Decorating is scheduled for the night before, Friday, October 26th and the Silent Auction tables will be set up the day of the event. The ads for the program must be submitted by our next board meeting, Wednesday October 17th. There are currently 2 ads sold. Kim Perry and Richard Artura are leading the effort toward acquiring sponsorships. There are no business sponsors established at this time. Board members spoke to their efforts acquiring donations with mixed success. Baskets & other silent auction donation items may now be delivered to the museum where they will be stored until the event. The attendance goal is 22 tables each seating 8 persons. There are confirmed reservations for 12 tables at this time. All board and staff are obliged to be involved in this event. Joan Mason is contacting those on a prior attendee list confirming interest in attending. IV. Staff Report Kristen Bruhahn provided an overview of the Hops & Crops event. There were 964 attendees. This year's profits are nearly double the profits from last year. Thanks were extended to Jamie Bothell and Mike Weibel who secured sponsors for the event. Board members expressed appreciation toward staff members, especially Rachel Burrum, for their efforts and those who attended characterized Hops & Crops as 'fabulous!'. The final report for Kickstarter.com campaign, reviewed by Patricia Cosgrove, earned just over $1,500. McMenamins Pub, Mill Creek, has selected the museum to benefit from its Friends & Family night scheduled for the evening of October 9th 2012. 50% of earnings for the evening will be donated to the museum. Go! Eat! Drink! for the good of the order. Approved 10/17/12 Gary Moberly is the newly hired caretaker at Mary Olson Farm. He is experienced as a farmer, an Auburn local, and a retired machinist. His competency in the skills of many trades paired with his willingness and interest in caring for the farm has earned him this accolade, "He is a gem ". V.
