Advisory Board Meeting Minutes
Friday, January 18, 2073
Aubum Gity Hall Annex Room #1 - 3:00 pm
I. Call to Order
The meeting was calied to order by Trudy Ginther at 3:05 pm. Advisory Board
Members present: Trvcly Ginttier, Maggie Greenslit, Mark 1Nayne, Linda Morris,
Trenity Walker. Board members not in attendance: Ronnie Roberts, hristian
McLendon. City Staff/Council present Market Manager Joanne Macnab, City
Council member Bill Peloza and Parks Secretary Julie Mehl.
II. Minutes
Mark Wayne moved to approve October minutes, Linda Moms seconds.
III. Market Manager Report—Joanne Macnab
Joanne has a new cell phone�ivhich has service at various locations, including
her home. This will be a tremendous advantage as the season begins and
progresses.
Joanne and Trudy will attend the 2013 Washington State Farmers Market
Association annual conference in Vancouver, WA January 25—27.
Maggie Greenslit and Joanne Macnab attended a Market Managers meeting
December 17"'. A new food code for cut leafy greens will be implemerrted May 1,
2018: This new code wiif requireall cut; leafy greens be stored at a temperature
of 41 degrees or less, pre4errting the growth of pathogens ( primarily E. Coli
0157:H7)which can penetrate the greens after intemal fluid 8� nuhients are
exposed by cutting the leaf: The new King County Board of Health fee structure
is effective June 1, 2012 and has three tiers regarding farmers markets. VNe fall
under tier 3 which will be $502 vs. previous cost of$100.
On December 27"'we applied for anothergrant through King Conservation
District: We applied for$20,000 to be used for marketing and promoting the
2013 season, January 16"', we were notifed that KCD will recommend for
approval at the February 11�' Board of Supervisors meeting. KCD is also
requesting a booth at the market thissea§on for possible demonstrations.

Ciscoe Morris has been contacted and wiil appear at the market tentatively June
30"'.
Marianne Binetti (local gardening expert) is also eager to retum to the market
She has oifered to assisf uvi#h recruiting farmers ftom the Enumclaw community.
The Aubum Police Department and the Valley Regional Fire Authority are on
board for the 2ntl annual chili cook off, scheduled for September 8.
Joanne wiil be meeting with Diane Sarr(AHS Graphic Design and Illustration
teacher) on February 6. They will discuss the opening day scheduie for the art
project. Currernly she has a fieid trip to the Pike Place Market scheduled for
April.
Sound Transit storage room — In the next few months, the City of Auburn
Facilities Department will be cleaning out the storage room. Market supplies will
be moved to the rear of the room and a wall and locking door will be installed to
keep our equipment safe.
City of Aubum Arts Commission grarit—Joanne is applying for another grant
from the City of Aubum Arts Commission. Last year the marKet received $1,500.
The Parks,Arts& Reaeation Spring/Summer Recreation Guide will feature a
cover photo of the market.
The markets Rules& Regulations &Vendor Application have been updated for
the 2013 season and were posted to the City of Aubum website on December 7.
Applications will be mailed to a112012 vendors the first week of February. On
January 16'"we received our first completed application far the season.
The 2013 marketing materials have been purcHased utilizingthe remaining funds
fromthe KCD grant, We will have new basebalf caps, t-shiRs and two pocket
aprons to sell`and 4" pulp board coasters to be distributed to local businesses
prior to fhe apening of the market season.
Budget reqiew— In 2012, Professional Services was increased to $7500 ($5000
from KCD grarrt) and Advertising was increased to $18000 ($15000 from KCD
grant).The budget layout for the market will have a new look from now forvward.
Professional SerVices,Entertainment and Other were previousiy contained under
one budget code. All other budget codes were reviewed and adequately funded.
Examples: Trayel werrt from $200 in 2012 to $1000 in 2013. Advertising
decreased by$500 to$2500, In House Labor increased$1500 to$34,500,
Supplies remained at,$500, Professional Services 8 Entertainment decreased 6y
$500 to$2000, Small Tools decreased by$750 to$250, Communication
remained at$1400 and Miscellaneous (Other) remained at$1250. `fhe annual
Farmers Market_CorrFe�ence requi�es registration in November so funds from
previous year are used. The benefits of attending the Washington State Farmers
Market As.sociation(WSFMA) conference are knowledge, support, rietwbrking,
and neuv ideas. Bill Peloza suggests having a WSFMA represeMative come to
an adyisory board meeting to discuss the WSFMA.

IV. Council report— Bill Peloza
Bill plans on attending the King Conservation District meeting on February 11 to
share how valuable the $20,000 grant has been for tFie marliet. Bill attended the
KCD meeting in November to network and show support.
Bill is working on securing WI-FI at the market, cost is the major,concem. He will
continue working on the problem.
Bill will contact Green River Community College for volunteers for the summer,
Joanne requests male volunteers to ease 4he strain of equipment set-up.
Bill suggests plastic shelving for°for sale" items (hats, bags etc.) Linda has
display sheiving toset on ta6letop which you can hang items on.
Joanne asked Bill Peloza if he has spbken with Mayor Lewis in regards to the
Cities of Algona and Pacific supplying market funding in lieu of volunteerism.
$2000 peryear would be the requested amount. Tren offered to attend Pacific
council meetings and create partnerships, Joanne prefers volunteers to funding.
V. Correspondence/Public Input
VI. Old Business
Board member appointments—None are up for re-assignment urrtil December
2013. Board will review with Tren, Mark and Linda in October.
Market bags—Christian& Ronnie have offered in the past to purchase market
bags, now we hope to have the graM from KCD so we can discuss again.
2500 coasters with AIFM logo—Linda Moms suggested,they be handed out to
restaurants outside the direct market area. Joanne said that Oddfeilas goes
through 1000 per week and the original idea was to give them to two restaurants
at the beginning of the season, fhe remainder to be given out half way through
the season.
Linda has been trying to recruit musical talertt to play at the market in exchange
fo�gas money. Joanne offered to follow up..
VII. New Business
Chair election—Maggie Greenslit mations to continue another year with Tnidy as
Chairperson, all agreed. Linda Morris motions to have Maggie serve as vice
Chairperson, all agreed.

VIII. Board Recommendations/Input •
L:inda has been networking at Zola's, soliciting help for the market.
Ronnie Roberts sent a letter in lieu of attending. He wanted ta bring forth some
concems. The letter was read by Chairperson Trudy Ginther.
The letteraddressed the following:
1. The day of the week that the market operates.
2. The markef venue (moving from the bus station to perhaps the Division Street
Plaza).
3. B_egin a discussion on Joanne getting a raise that recognizes the 4ime and
effort she puts into the Farmers Market and what benefits she is receiving.
Bill Peloza reminds the board 4hat the reason we chose Sunday is because
Saturclay is saturated with other area markets, especially Puyallup (according to
survey). Parking would be an issue ff we held the market on Friday. The market
will remain on Sunclays for now.
Regarding Joanne's rate of pay, Bill would like to find out whaYother market
managers are making to compare. Bill feels Joanne's rate would be along the
line of o#her market managers. Perhaps we could send an email to VVSFMA for
more information.
Trudy recommends placing the A frame signs closer to cHurches, the feedback
_ she's received is folks leave church and by the time they thinkabout the market,
iPs too late.
Regarding the "no smoking° policy at the market; Daryl Faber, Parks Diredor has
said we can not post"no smoking" signs. Tren asked if Vi+e could have temporary
signs, Bill wiii contact Sound Transit for permission.
