Tuesday, June 6, 2017 Meeting Minutes

I. Calt to Order, Introductions and Approval of Minutes
Chair Gollnick called the meeting to order at 4:30 pm. After a brief weleome, Chair Gollniek asked for
a motion to approve the minutes from the May 2, 2017 Arts Commission meeting. Commissioner
Jensen moved to approve the May 2017 meeting minutes; the motion was seconded by
Commissioner Judd. Chair Gollnick called the vote, and the rnotion passed unanimowsly.
II. Request for Grant Support Letters
Arts& Events Manager Krueger introduced current grant applications and recent$90,000 award from
4Culture for the Arts& Culture Center. Krueger further explained that some lobby demolition is
currently underway and one of the upcoming priorities is restoration of the building's historic windows.
Krueger explained to the Arts Commission that written letters of support from the local and regional
eommunity, both arts organizations and businesses, would be a very helpful addition to strengthen
fuCure grant writing efforts. Commissioners were given a list of possible businesses and organizations
and asked to be advocates and volunteer to reach out to organizations they have affiliations with for
these letters of support, A sample letter was distributed and commissioners selected agencies they
would contact. Staff will be following up with Commissioners and providing them with a packet of
information and the sample letter which will allow them to reach out and request letters of support.
III. Discussion of 2018 Project Support Grant
Qrts Coordinator Hyde discussed the existing Project Support Grant and the desire to update the
applicatiqn process forthe 2018 award applications to be online with a more streamlined self-
calculating budget system for applicants. Hyde shared that this process will ease processing and
review of applications in the future.
Hyde also presented research compiled on grant giving programs in other regional cities which
inelude grant awards to individual artists in addition to arts organizations. Hyde proposed that adding
g�anfs for individual artists would be an excellent way to support the arts in the community in a
broader way and the Arts Commission agreed. Commissioner Watson moved to approve adding
i.ndividual artists to the Project Support Grant program, and the motion was seconded by
CommissionerJensen. Chair Gollnick called the vote, and the motion passed unanimously.
IV. Proposed Artwork Donation from Shelley Cacr
Hyde informed the Arts Commission of the recent offer to donate a work of art to the eollection by
artist Shelley Garr. Carr had recently exhibited her work in City Hall and had made the piece
specifically for the exhibition. The 18"x 18" artwork featu�es eopperplate etched images of places
throughout the city of Auburn.
Following city policy and procedure for the accession proeess for gifts or donafions to fhe collection,
Hyde asked if two members of the Arts Commission would be willing to sit on a committee to review
, the work of art and the Letter of Intent to Donate Artwork which will be furnished by the artist.
Commissioners Judd and Watson offered to be a part of the selection committee to review the
proposed donafion. The artwork will be evaluated by the selected committee, including the two
commission members, an artist from the community and at least one member of Auburn staff. The
- results of the committee will be presented to the Arts Commission for a decision at the July 2017
meeting.
V. Auburn 2018-2020 Poet Laureate Application
Myde briefly updated Commissioners that the call for applications would be posted soon for the 2018-
2020 Poet Laureate and that the application process would remain the same but would be
transitioned into an electronic online submission format.
VI. Updates and Upcoming Events
a. Hyde shared arts news and updates:
• Commissioners were informed that a meeting is scheduled with the selection committee for
June 7, 2017 to review the 32 applications submitted for Auburn's Iconic PublicArt project in
order to select finalists for interviews.
• Hyde explained that vandalism had occurred damaging a piece of the permanent art collection,
"Riparian Totem" by Lin McJunkin. Repairs are being done to the piece by the artist.
b. Krueger gave an update on the performing arts programs:
o The current production of Hairspray is one of Auburn's best shows ever.
• Other shows coming up are a youth production of the Lion King and a teen production of the
Wedding Singer.
• The BRAVO season 2017-18 is booked and marketing pieces are currently in production.
c. Commissioner Colson updated everyone on the upcoming Mary Olson Farm Aubum Symphony
Orchestra performances on July 6, 20, and August 3, 2017.
d. Commissioner Watson shared the details of the upcoming "Salish Modern" exhibition at the White
River Valley Museum on view July 12— December 17, 2017 and associated programming.
e. Chair Gollnick shared that Auburn Valley Creative Arts has upcoming Paint&Sip classes on July
9, 16 and 23, 2017.
f. Commissioner Jensen shared that he will be teaching an upcoming drawing class with the City of
Auburn on Thursdays, July 6, 13, and 20tn.
There being no further business, the meeting adjourned at 5:40 pm
